In/Out Board

The In/Out Board is an easy way to keep track of attendance in an office environment. Users can update their status directly from their desks, and the application keeps a record of status changes for record keeping purposes. Users can also select a delegate who can update the user's status in the event the user can't do so.

 

  1. Select the In/Out Board asset from the New Content menu of the Admin Bar.

  2. The “In/Out Board, Add/Edit” screen will open.

 

  1. In the “Title” field enter a title or heading for the in/out board.

  2. The “Menu Title” is the title as it appears in site navigation. You can leave this blank and WebGUI will insert a menu title for you (by default WebGUI will use the “Title”).

  3. The URL can be left blank and WebGUI will generate one for you.

  4. The “Description” field is an area to enter text that will be displayed between the title and board itself. This can be something like a set of instructions for users.

  5. The “Status List” is an area in which you can enter a list of statuses users can choose from. By default, In and Out are entered. You can add things like “In a meeting,” “On the phone,” “Gone fishing” etc. Use a carriage return after each option.

 

 

  1. Enter your display settings in the “Display” tab.

 

 

  1. Hide from navigation?: toggling this field to Yes will hide the asset’s title from the site navigation.

  2. Open in new window?: if toggled to Yes, the asset will open in a new browser window.

  3. Display the title?: if toggled to Yes, the asset’s title will not appear on the web page.

  4. Style Template: select a style in which to view this asset if it is viewed directly. If this asset is part of a layout asset the layout asset’s style will be used.

  5. Printable Style: making the asset printable will provide a pared-down version of asset for printing purposes.

  6. Paginate After: determines how many rows will be displayed per page.

  7. In/Out Template: choose a template in which to display the in/out board.

  8. Report Template: choose a template in which to display the in/out board report.

  1. Select your security settings from the “Security” tab.

 

 

  1. Owner: the owner has full editing and viewing rights for this asset. Usually, the owner is the person who created the asset.

  2. Who can view?: if you need to limit who can view this asset, make a selection from the dropdown menu. If their are no viewing restrictions, leave the menu at Everyone. The Owner can always view the asset.

  3. Who can edit?: select who has editing rights from the dropdown menu. The Owner can always edit.

  4. Who can view reports?: determines the group of users who can run and read reports.

  5. The ID of the group that is allowed to use the In/Out Board?: determines the group of users who can actually use the in/out board to update their attendance.

  1. The Metadata tab is the standard Metadata screen common amongst all assets. If you need to handle metadata for the purposes of content profiling you can do so here.

  1. When you are finished setting up your in/out board, click save to display the in/out board on the page.

 

To change a user’s status, click on the In or Out toggle, and enter a brief description of the user's activity in the “What’s happening?” field. Then click save to display the status.

 

 

View a Report

 

 

  1. Click on the “View Reports” link at the top of the In/Out Board. To narrow the report, select a date range in which to search from the “Start Date” and “End Date” fields, as well as a specific department from the “All Departments” dropdown menu.

  2. Click “Search” to generate the report.

  3. The report displays who has logged in and out, when, and their reasons why. The user who committed the status change is also displayed, in case it was done by a delegate.

 

 

Delegates

Delegates can be chosen by clicking on the “Select delegates” link at the top of the in/out board. This could be someone like a coworker, an intern or assistant. Simply click on the link and choose a delegate from the list of users displayed, then save.

 

 

Delegates will then be allowed to alter another’s in/out status by selecting the other person from the dropdown menu labeled “Update status for”, setting the status, and entering a brief comment if necessary.
